BOOKING TERMS AND CONDITIONS

Definitions

In these Terms and Conditions, “we/us” means RT Limited (trading as Rock Tours), a Jersey registered company.
“Event” means any holiday, accommodation, activity, excursion, fixture, or function organised or advertised by us.
“You” means the person who has signed the booking form and includes all persons on whose behalf the booking is made.
“Supplier” means the company or person providing any part of the event.
“Price” means the total cost of the event.

1. Terms and Conditions

These Terms and Conditions form the basis of the contract between you and us, to the exclusion of all other terms except those implied by law. No variation shall be valid unless agreed in writing by both parties.

By making a booking, or by the commencement of arrangements by RT Limited, you are deemed to have accepted these Terms and Conditions.

 

2. Formation of Contract

No contract shall arise until we have received the required deposit and issued written confirmation of acceptance (including by email).

 

3. Lead Name Responsibility

The lead name accepts full responsibility for:

  • Payment of all sums due

  • Collecting monies from group members

  • Ensuring all group members are aware they are bound by these Terms

The lead name indemnifies RT Limited against any loss arising from non-payment and is responsible for completing the guest list accurately.

 

4. Payments and Deposits

i) A non-refundable, non-transferable deposit is payable at the time of booking (amount dependent on the tour).
ii) The final balance must be paid no later than 56 days before the event start date.

Financial Protection

All tours are protected through Protected Trust Services (PTS). Funds are held in trust and supplier failure insurance is included.

 

5. Cancellation by Us

We may cancel a tour if:

  • Safety concerns arise (including weather or supplier advice)

  • A supplier cannot provide services

  • Behaviour risks harm or reputational damage

  • Changes make the tour impractical

If cancelled, we will attempt to rearrange or provide a refund of monies paid, less any irrecoverable costs incurred. No further liability shall arise.

 

6. Cancellation by You

Written notice must be received from the lead name. Charges apply:

  • More than 98 days: Deposit only

  • 98–72 days: 30%

  • 71–42 days: 50%

  • 41–22 days: 75%

  • 21–15 days: 90%

  • 14 days or fewer: 100%

7. Accommodation

RT Limited is not responsible for loss or damage to personal belongings unless caused by our negligence.

Groups must leave accommodation in good condition. Costs for damage may be charged.

8. Meals

Pre-orders may be required. Dietary requests will be passed on but cannot be guaranteed. We are not liable where suppliers cannot meet requirements.

9. Excursions and Activities

Activities are provided by independent third-party suppliers.

RT Limited arranges but does not control or supervise these activities. Suppliers are responsible for staffing, insurance, and safety.

Participants must follow all instructions. We are not liable for incidents resulting from:

  • Failure to follow instructions

  • Inherent risks in activities

Externally booked activities are not part of the contract with us.

 

10. Supervision

Group leaders are responsible for participants at all times outside activities.

Where participants are under 18, responsibility remains with supervising adults except during activity sessions.

 

11. Alterations by Us

Minor changes may occur. For major changes, you may:

  • Accept the change

  • Accept an alternative

  • Cancel for a refund (excluding force majeure)

 

12. Alterations by You

Changes must be requested in writing and are subject to availability and charges.

Numbers may be amended up to six weeks prior, subject to supplier terms.

 

13. Your Obligations

Participants must:

  • Behave responsibly

  • Follow instructions

  • Arrive on time

  • Dress appropriately

Failure may result in removal without refund.

Insurance

Adequate travel insurance (including sports cover) is mandatory.

Proof may be requested. Failure to obtain insurance is at your own risk.

 

14. Our Obligations and Liability

We arrange services in good faith but cannot guarantee outcomes or prevent disruptions.

Many services are provided by third parties under their own terms.

RT Limited shall not be liable for:

  • Acts or omissions of suppliers

  • Indirect or consequential losses

  • Losses arising outside our control

We accept liability for death or personal injury only where caused by negligence of our employees acting within their duties.

 

15. Force Majeure

We are not liable for failure or delay due to events beyond our control, including:

  • Weather conditions

  • Natural disasters

  • Strikes

  • War or terrorism

  • Pandemics

  • Travel restrictions

  • Supplier failures

 

16. Complaints

Issues must be raised immediately with the supplier and us.

Formal complaints must be submitted within 7 days (or as soon as reasonably practicable) after the tour.

 

17. Jurisdiction

This agreement is governed by Jersey law. Jersey courts have exclusive jurisdiction.

 

18. Data Protection

We process data in accordance with the Data Protection (Jersey) Law 2018 and only share it where necessary.

 

19. Changes to These Terms

We reserve the right to update these Terms. The version applicable at the time of booking will apply.
