Booking Terms & Conditions

Definitions

In these Terms and Conditions, “we/us” means Rock Travel Limited (trading as Rock Sports Travel), a Jersey registered company.
“Event” means any holiday, accommodation, activity, excursion, fixture, or function organised or advertised by us.
“You” means the person who has signed the booking form and includes all persons on whose behalf the booking is made.
“Supplier” means the company or person providing any part of the event.
“Price” means the total cost of the event.

1. Terms and Conditions

These Terms and Conditions form the basis of the contract between you and us, to the exclusion of all other terms save for those implied by law. No variation shall be valid unless agreed in writing by both parties.

By making a booking, or by the commencement of the arrangement of an event by Rock Travel Limited, you are deemed to have accepted these Terms and Conditions.

2. Formation of Contract

No contract shall arise until we have received the required deposit and issued written confirmation of acceptance (including by email).

3. Lead Name Responsibility

The lead name accepts full responsibility for:

Payment of all sums due for the booking
Collecting monies from group members
Ensuring all group members are aware they are bound by these Terms and Conditions

The lead name indemnifies Rock Travel Limited against any loss arising from non-payment by individuals within the group and is responsible for completing the online guest list accurately.

4. Payments and Deposits

i) A non-refundable, non-transferable deposit is payable at the time of booking (amount dependent on the tour).
ii) The final balance must be paid no later than 56 days (8 weeks) before the event start date.

Financial Protection

All tours are protected through Protected Trust Services (PTS). Funds paid are held in trust and administered by chartered accountants and paid directly to suppliers. Supplier Failure Insurance is also included.

5. Cancellation by Us

We may cancel a tour or any part of it if:

Safety concerns arise (including weather or supplier advice)
A supplier is unable to provide the service
Behaviour risks harm to people, property, or reputation
Requested changes make the tour impractical or uneconomical

If the whole tour is cancelled, we will endeavour to rearrange or provide a refund of the cost to us of the tour. No further liability shall arise.

6. Cancellation by You

Written notice must be received from the lead name. Cancellation charges apply as follows:

More than 98 days: Deposit only
98–72 days: 30%
71–42 days: 50%
41–22 days: 75%
21–15 days: 90%
14 days or fewer: 100%

7. Accommodation

Rock Travel Limited shall not be responsible for loss, theft, or damage to personal belongings during the tour unless caused by the negligence of our employees acting within the scope of their employment.

Groups are responsible for leaving accommodation in a clean and undamaged condition. Costs arising from damage or loss may be charged to the group.

8. Meals

Pre-orders may be required. If not completed, we accept no liability for delays or non-provision. Dietary requests will be passed on but cannot be guaranteed. We accept no liability where suppliers are unable to meet these requirements.

9. Excursions and Activities

Activities, excursions, fixtures, coaching sessions, and experiences included within the tour are delivered by independent third-party suppliers.

Rock Travel Limited is responsible for arranging and coordinating these activities but does not deliver, supervise, or control them. Activities are carried out under the control and supervision of the supplier, who is responsible for staffing, equipment, qualifications, insurance, and risk management.

We take reasonable steps to ensure suppliers hold appropriate public liability insurance and risk assessments.

Participants must follow all safety instructions. We are not responsible for incidents arising from failure to follow instructions or from inherent risks associated with the activity.

Activities booked independently during the tour are not part of the package and contracts for those services are directly with the provider.

10. Supervision

School staff and group leaders remain responsible for the general supervision, behaviour, and welfare of participants outside the direct delivery of activities. Activity instructors are responsible only for the activity session itself.

11. Alterations by Us

Minor changes may be made at any time. If a major change becomes necessary, you may accept the change, accept an alternative tour, or withdraw and receive a refund (excluding force majeure situations).

12. Alterations by You

Requests must be made in writing by the lead name. Changes are subject to supplier availability and administration charges. Numbers may be amended up to six weeks prior to departure, subject to supplier terms.

13. Your Obligations

Participants must behave responsibly, follow instructions, meet arrival times, and dress appropriately. Failure may result in termination of the tour without refund.

Adequate travel insurance, including cover for sports participation, is mandatory for all participants.

14. Our Obligations

We arrange fixtures in good faith but cannot guarantee outcomes or prevent cancellations due to weather or unforeseen circumstances. Many services are provided by independent suppliers under their own terms, which may limit liability.

Rock Travel Limited accepts liability for death or personal injury only where caused by the negligence of our employees acting within the scope of their employment.

15. Complaints

Issues must be raised at the time with the relevant supplier and then with us. Written complaints must be received within 7 days of tour completion.

16. Jurisdiction

This agreement is governed by the laws of Jersey, and Jersey courts have exclusive jurisdiction.

17. Data Protection

We process personal data in accordance with the Data Protection (Jersey) Law 2018. Data is shared only where necessary to deliver the tour.

18. Changes to These Terms

We may update these Terms by publishing revisions on our website. Continued use constitutes acceptance.
